 C O N C E P T

 

A SAP Business Partner is an Organization (firm, branch office), person or a group of persons or organiza-tions in which your company has a business interest. You can create and manage your business partners centrally for different business transactions. This is of prime interest if a business partner plays different roles for a company, such as sold-to party and ship-to party. You can create a business partner in different business partner roles. During the course of the business rela-tionship, the business partner can also get other business partner roles. You do not need to create the gen- eral data, which is independent of a business partner’s function, again for this business partner. You just add  a Role which will contain the relevant information. This prevents data being created and stored redundantly. A Business partner consists of general data (Name, address, bank information etc.) and Role specific infor-mation (e.g. customer / vendor / employee / etc.). these roles are linked to other parts within SAP. When a BP has the role customer the link with the customer / sales sub administration and the general ledger is man-datory. On creation the relevant fields for and links to these areas are made

 

 

Concept of Business Partner Roles

Use 

In the dialog you can assign a business partner role to a business partner in order to specify its function. You define BP roles in Customizing.

A program can access specific business partner roles for a business partner business partner rolecategory. You likewise define BP role categories in Customizing.

The business partner view and are defined in the Business Data Toolset (BDT) and are used for screen control that you can define using the assignment to a BP role in Customizing. Use this, for example, to control which business partner data should be displayed in the dialog when the relevant role has been selected.

The business partner role grouping allows you to group together several BP roles for selection in the dialog. A program can access specific business partner role groupings using the business partner role grouping category. You also define the BP role groupings and BP role grouping categories in Customizing.

To ensure that a business partner does not take on certain roles simultaneously, you can group together several BP roles in a business partner role exclusion group  in Customizing.

In Customizing you can also define application transaction to which you assign BP roles and BP role groupings, and thus specify how you access business partner maintenance.

The relationship of role category - role is 1 :n.  For this you must define a BP role as a standard role, to ensure that when programming on the role category, that only one role can be read.

Use

The role category makes it possible for SAP and customer programs to program on the BP role.

You can, if required, define your own role categories and attributes in Customizing.

You can create a 6-character key in the customer namespace (Y* and ZÜ*) for the role category. You can also choose a title as the short form and a description as the long form for the role category text.

Dependencies

The role category depends on a differentiation type.

Any number of BP roles can be assigned to a role category, with one role always acting as the standard role per role category.

It is possible to control the update of a role by assigning a role category to a role.

Set BP Role Category for Direction BP to Customer

Use 

In this IMG activity you can define which BP role categories enable customer integration in the direction from the business partner to the customer. You can determine how the system creates a corresponding customer in Financial Accounting when you process a business partner.

The BP role categories entered in this IMG activity are customer-based, this means that the system has to consider customer integration when it processes business partners with a corresponding BP role. In the IMG activity you can define whether the business partner role assigned to the BP role category is a mandatory or optional customer business partner role.

In the case of mandatory customer business partner roles the system automatically creates corresponding customers. In the case of optional customer business partner roles you can determine whether you want to create a corresponding customer during business partner processing.

Requirements 

You have made settings for the BP roles and BP role categories needed in the Customizing for the SAP Business Partner in the IMG activity Define BP Roles.

Activities 

If you want to enable customer integration for a BP role category, carry out the following steps:

  1. Choose the business partner role category in which you want to permit customer integration.
  2. Make settings for the BP role category for customer integration:
  • If you set the Mandatory for Customer indicator, you determine that when you process the business partner in this role category or in the assigned BP role, the corresponding customer is automatically processed.
  • If you set the Optional for Customer indicator, you determine that when you process the business partner in this role category or in the assigned BP role, you can decide whether the corresponding customer is created.

You can enter the customer to be created on the tab page Customer: General Data when you process the business partner.

  • If you enter a suitable function module (such as BPOB_TRD001_DEB_ROLLE, for example) in the field Role Control Settings, this function module makes the required customer integration settings for the corresponding business partner role category. The system enters suitable function modules only for optional customer role control settings.

For loan contracts, for example, this enables you to determine at which point in time a customer is created for a business partner, dependent on the contract status and the company code.

  • If you enter a suitable function module (such as BPOB_TRD001_VORBEL_DEB, for example) in the field Default Settings, the function module enters the default values for the customer to be created. You can enter default values for the following data:
  • Customer Master (General Data)
  • Customer Master (Company Code)
  • Customer Master (Dunning Data)

These default values are used when you create a customer or a company code, for example.

 

 

 

 

Define BP Role for Direction Customer to BP

Use 

In this IMG activity you assign BP roles to the account group for the customer master record in which the business partner is to be created when processing the customer.

When you process the customer as part of customer integration the system creates a business partner with the relevant account group in the BP roles that are assigned to this account group.

Requirements 

  • You have determined the account groups and the number ranges assigned to the account groups for creating customer accounts in Customizing for Financial Accounting. You make these settings in the following IMG activities:

o         Define Account Groups with Screen Layout (Customers) o         Create Number Ranges for Customer Accounts o         Assign Number Ranges to Customer Account Groups 

  • You have defined and made settings for the BP role in Customizing for SAP Business Partner. You make these settings in the IMG activity Define BP Roles.
  • You have made all required settings in Customizing for Master Data Synchronization by choosing Cross-Application Components-> Master Data Synchronization.

Activities 

  1. Assign BP roles in which the business partner is to be created when processing customers to the account group for the customer.

Business Partner Category  

Definition

The business partner category denotes whether a business partner is a natural person (private individual), organization (legal person/entity or part of a legal entity, such as a department), or a group.

Use

When you create a business partner, you have to select a business partner category. Depending on the business partner category, a certain set of fields has to be filled with data.

The selection of name fields available is defined by the business partner category. You can enter the following data:

  • Organization: Form of address, name, legal form, industry, legal entity
  • Person: Form of address, first and last name, other name components (such as name prefixes and affixes and academic title), gender
  • Groups: Form of address, two names, partner group type (marriage, shared living arrangement)

Activating the Business Partner Role for Credit Management  

Use

The credit master data of your business partners is the basis of SAP Credit Management; it controls all credit-relevant ratings and analyses. In order for you to be able to edit the credit master data of your customers, the business partner role must be active for SAP Credit Management (UKM000 Credit Mgt Business Part.).

Procedure

  1.  On the SAP Easy Access screen, enter BUPT with no other characters in front.

The Business Partner: Task Menu screen appears.

a. Choose Business Partner → Control → Applications.

                  

 

On the detail screen for the application UKM, set the indicator Active.

  1. Choose Business Partner → Control → Screen Sequences.

Make sure that the screen sequence BUP001 contains the screen UKM100.

 

 

 

 

  1. Choose Business Partner → Control → Divisibility → BP Views. Make sure of the following entries for BP view UKM000:

 

 

■  As calling applications, the applications UKM and FS08 are entered.

 

 

■  As Subheader ID, subheader UKM110 is entered.  

  2.  Using transaction SM30, call view V_TBZJ1C. Insert the following new table entry if it does not already exist:

○  Subheader  :  UKM110

○  Item:  6

○  Active:  X

  3.  In Customizing for Cross-Application Components, choose SAP Business Partner → Business Partner → Basic Settings → Business Partner Roles → Define BP Roles.

  1. Insert the following new role category if it does not already exist:

■  Role Category:  UKM000

■  Title:  SAP Credit Management

■  Name:  SAP Credit Management

■  Differentiation Category:  9

■  Possible Business Partner Categories:  Select all three categories.

You need differentiation categor 9 to enter additional information for each segment.

  1. Insert the following business partner role if it does not already exist:

■  BP Role:  UKM000

■  Title:  SAP Credit Management

■  Name:  SAP Credit Management

■  BP Role Category:  UKM000

■  Standard Assignment

BP Role  BP Role Category:  X

■  BP View:  UKM000

Result

In the master data editing for the business partner, you can now edit the credit master data of your customers.

If you select the role for Credit Management (UKM000 Credit Mgt Business Part.), the tab page Credit Profile and the button Credit Segment Data are displayed.
